Privacy Policy
This policy explains how Heyji processes personal information when you use heyji.io, consultant pages, bookings, communications, payments, and related services.
Last updated: August 12, 2026
This Privacy Policy applies to Consultants, Clients, website visitors, and others who interact with Heyji. By using the platform, you acknowledge the practices described below. Please also review our Terms and Conditions.
1. Information we collect
Depending on how you use Heyji, we may collect:
- Account information: name, email address, phone number, profile photo, authentication identifiers, and account preferences.
- Consultant information: biography, qualifications, professional registration, services, pricing, availability, public profile content, identity or KYC information, tax details, and payout account details.
- Client and booking information: enquiries, intake responses, appointment details, waitlist entries, service history, notes submitted through the platform, and cancellation or credit records.
- Communications: messages, support requests, call metadata, delivery status, and related records. We do not record call audio or video unless the feature clearly says so and legally required consent has been obtained.
- Transaction information: amounts, currency, payment status, invoices, refunds, wallet activity, and payment-provider references. Full card or bank credentials are generally handled by payment providers rather than stored by Heyji.
- Technical and usage information: IP address, browser, device, operating system, pages viewed, referring URLs, timestamps, cookie identifiers, diagnostics, and security events.
- Information from integrations: calendar availability, authentication details, and other data you authorize a connected service to share.
2. How we collect information
We receive information directly from you, automatically when you use the platform, from Consultants or Clients with whom you interact, and from providers supporting authentication, payments, identity verification, calendars, communications, analytics, and security.
If you provide personal information about another person, you must have authority to do so and give them any notices required by law.
3. How we use information
- Create accounts, authenticate users, and maintain public Consultant pages.
- Facilitate bookings, calls, messages, reminders, waitlists, credits, payments, wallets, and payouts.
- Verify identity and professional information, prevent fraud, and protect users and the platform.
- Provide support and send service, security, transactional, and administrative communications.
- Personalize and improve features, troubleshoot errors, measure performance, and develop new services.
- Comply with legal, tax, accounting, professional, and regulatory obligations and enforce our agreements.
- Send product or marketing communications where permitted. You may opt out of promotional email at any time.
4. Sensitive and health-related information
Some information shared through intake forms, messages, notes, or sessions may concern health or wellbeing and may be sensitive personal data. Only provide information reasonably necessary for the service. Consultants are independently responsible for their professional confidentiality, recordkeeping, consent, and data-protection obligations.
Heyji is not an emergency service. Do not use the platform to communicate an urgent threat to life or safety; contact local emergency services or an appropriate crisis helpline.
5. Legal grounds and consent
Where applicable law requires a legal basis, we process information to perform our contract with you, based on your consent, to comply with legal obligations, and for legitimate interests such as operating, securing, and improving Heyji. You may withdraw consent where processing relies on it, without affecting earlier lawful processing.
6. How we share information
We may share information only as reasonably necessary with:
- Consultants and Clients involved in a requested enquiry, booking, communication, or transaction.
- Service providers for cloud hosting, databases, Firebase authentication, communications, analytics, customer support, identity verification, payments, and fraud prevention.
- Professional advisers, auditors, insurers, regulators, courts, law enforcement, or other parties when required by law or necessary to protect rights and safety.
- A buyer, investor, or successor in connection with a financing, merger, reorganization, or sale, subject to appropriate safeguards.
We do not sell personal information for money. A Consultant’s public profile and content intended for publication are visible to website visitors and may be indexed by search engines.
7. Our technology providers
Heyji currently uses third-party infrastructure that may include Firebase Authentication for sign-in, Microsoft Azure for hosting, and MongoDB for data storage. We may replace or add providers as the platform develops. Each provider processes information under its own contractual and security obligations.
8. Cookies and analytics
We may use cookies, local storage, and similar technologies to keep you signed in, remember preferences, secure sessions, understand platform use, and improve performance. Browser settings can restrict some technologies, but doing so may prevent parts of Heyji from working correctly. Where required, we will request consent for non-essential cookies.
9. Data retention
We retain information for as long as needed to provide services, maintain security and business records, resolve disputes, and satisfy legal, tax, payment, and regulatory requirements. Retention periods vary by data type and context. When information is no longer required, we delete or anonymize it where reasonably practicable.
Account deletion may not immediately remove information held in backups, transaction records, fraud-prevention systems, or records that a Consultant must retain under professional law.
10. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication, encryption where appropriate, monitoring, and vetted infrastructure providers. No system is completely secure, and we cannot guarantee that unauthorized access or loss will never occur.
You are responsible for protecting your account and should contact us promptly if you believe it has been compromised.
11. International data transfers
Our providers or users may operate in countries other than yours. As a result, information may be processed outside your state or country, where privacy laws may differ. Where required, we use contractual or other lawful safeguards for these transfers.
12. Your choices and rights
Subject to applicable law, you may ask to access, correct, update, erase, or receive a copy of your personal information; withdraw consent; object to or restrict certain processing; or complain to a competent authority. You may also update certain details within your account and opt out of promotional communications.
To submit a request, email support@heyji.io with “Privacy request” in the subject. We may verify your identity before acting and may retain information where law permits or requires it.
13. Children
Heyji accounts are intended for adults aged 18 or older. We do not knowingly allow children to create accounts. A Consultant serving a minor outside the platform’s account flow is responsible for obtaining guardian consent and complying with applicable professional and privacy requirements.
14. Third-party links and Consultant practices
Heyji may link to third-party sites or services that have their own privacy practices. Consultants may also independently collect and process Client information as data controllers or data fiduciaries. Heyji is not responsible for processing performed independently by those parties.
15. Changes to this policy
We may update this Privacy Policy as our services or legal obligations change. The current version will be posted on heyji.io with the updated date above. Where required, we will provide additional notice.
16. Contact us
